The Multivista Task Manager has a built-in service to notify users about Task activity on your projects. Notifications are issued for the following events:

  • A Task Item becomes Overdue

  • Edits are made to a Task Item

  • Photos are added to a Task Item

  • A Task Item is Pinned to a location

  • Files are added to a Task Item

  • Comments are made on a Task Item

There are three channels by which notifications are issued:

Users have the ability to control which Tasks they receive notifications for by way of 'Following' a given Task Item and can also choose which channels they wish to receive notifications via.

Setup

Currently, Notification preferences can only be managed via the Multivista desktop web application. There are no adjustable settings for the in-application Notification Area / Notification Center however, Email and Mobile Push notifications can be managed as follows:

  1. Click on the My Account link located at the top right portion of any page.

  2. Click on the Preferences and Settings tab.

  3. Adjust your Time Zone as required

  4. Opt in or out of the Email Notifications and Mobile Push Notifications using the checkboxes

  5. Adjust your Email Notification Frequency settings.  There are 3 available options for Email Notification Frequency:
    - A weekly summary report on a day and time of your choosing
    - A daily summary report at a time of your choosing
    - Real time notifications issued as soon as a given activity occurs

  1. Click on the My Account link located at the top right portion of any page.

  2. Click on the Preferences and Settings tab.

  3. Adjust your Time Zone as required

  4. Opt in or out of the Email Notifications and Mobile Push Notifications using the checkboxes

  5. Adjust your Email Notification Frequency settings.  There are 3 available options for Email Notification Frequency:A weekly summary report on a day and time of your choosingA daily summary report at a time of your choosingReal time notifications issued as soon as a given activity occurs

Following a Task Item

Anyone who creates a Task Item will receive notifications for that Task Item, as will anyone who is assigned that Task Item. Other users can optionally receive notifications for a task item by 'Following' the Task Item. Task item Followers can be managed in two ways:

  1. Any user can opt to Follow a task item by clicking on the Star symbol from a Task Manager list view.  An empty (white) Star indicates that you are not Following the given Task Item while a Yellow Star indicates that you are optionally following the given Task Item.  A Grey Star indicates that you are following the Task Item by virtue or being the Creator or Assignee of the given item.

  2. Alternatively, when creating or editing a Task Item, Followers can be managed by clicking on the 'Followers' link at the upper right of the Task Item Details form.

  3. Check or uncheck the names of people who you would like to be notified of activity to do with the given task.

  4. Click 'Done' once you have completed your edits.

Notification Area / Notification Center

The Notification Area and Notification Center are two related locations within the Desktop and Mobile App which aggregate and show all of your notifications.

Desktop

  1. Click on the Bell icon at the upper right of any page within the MDS.  The red highlighted number indicates the number of unread or alert status notifications.

  2. The Notification Area shows a selection of your most recent Notifications.  Overdue Alerts are shown with a red background.  Overdue alerts will persist until the either the Task Items Status is changed to 'Done' or the Due Date is changed so that the Task Item is no longer overdue.

  3. Unread Notifications are shown with a yellow background.  Clicking on the given row will take you to the Task Item(s) in question and will mark the Notification as 'read'.

  4. Read Notifications are shown with a grey background.

  5. Clicking on the 'See More' link will take you to the Notification Center.

  6. The Notification Center will show you all of your Notifications through time.  The color formatting is the same as described above.

  7. Use the 'Filter by Project' selector to filter the notifications which you are currently viewing by project.

  8. Click on the 'Mark All As Read' link in order to remove the yellow 'Unread' highlighting from all of the Notifications.

Mobile

  1. Tap on the Bell icon at the upper right of any view within the Mobile App.  The red highlighted number indicates the number of unread or alert status notifications.

  2. Background formatting styles are the same as described above.

  3. Tap the 'Mark All As Read' link in order to remove the yellow 'Unread' highlighting from all of the Notifications.

Email Notifications

Depending on your Email Notification settings, you will receive emails with a summary of project activity for the time period appropriate to your email settings.

Mobile Push Notifications

Depending on your Mobile Push Notifications, you will receive (near) real time notifications of project activity. The appearance of the Mobile Push Notifications varies by device. Note that your smart phone or tablet will also have settings to allow or turn off notifications so will need to adjust accordingly.
